What is a Tour Desk

Most accommodation sites in tourist areas make sales for Tour Operators in their area and usually collect a commission (the deposit) or the full payment and rebate the payment less a commission later to the operator.

Keeping track of commissions due can be a nightmare.
Our Desk lets you setup any number of Tours and Tour Operators, each with their own commission or rebate rates.

Then you can sell, take full payment or a deposit, print your own Tour Ticket that the guest uses to present to the Tour Operator. Each ticket is numbered and this prints on the Rebate Account when you pay the operator, along with guest name, the amount, day of the tour, the pickup location and the time.

If a guest cancels then a cancelled ticket is produced and the amount placed on the operators account.

The Tour Desk module could save you lots of time and effort at the end of the month, collating the sales and printing the accounts.

Keeping Track of Sales
Tour Desk lets you print out a Summary of all tours sold for whatever period or if you wish a complete history of each tours sales.

Paying the Rebates
As each sale is recorded as a charge against your business in the Creditors Ledger, you can decide which items you want to pay and when.

Tour Operators History
At any time you can print a history of each operators history showing the amounts you owe and the amounts paid and of course the balance owing.  If the operator has multiple tours then each tour sold is shown. This is invaluable in case of disputes regarding payment.

Printer for Tour Tickets
We recommend an A5 printer or a Laser or Inkjet that is capable of A5 printing. If printed on A4 then the ticket is centered on the page. The ticket is designed around an A5 sheet. Optionally you might consider a 40 column ticket printer that stores all the logos for the tour operators and applies them to e ticket at the time of printing.

Ticket Printing with each operators logo imprinted on the ticket is now possible. With the release of special 40 column printers that can store up to 200 logos for immediate printing, this has eliminated the long time lag associated printing logos with standard printers. Millennium3's Tour Desk module can tell the printer which logo to print at the time of printing. (Logo printer and software are optional extras and vary from site to site.)

Keep track of every sale.
Tour Desk lets you target your reports to see which tour is selling best and how much you have made.

We use A5 paper for Tour Ticketing as it is large enough for the guest not to lose and small enough to save trees.

Tour Operators might prefer for you to collect a deposit with the guest paying the balance on pickup or arrival at the tour location. Tour Desk allows you this or the option of collecting full payment in advance.
